HERTS BOWLS COACHING SOCIETY (“HBCS”)
PRIVACY NOTICE
The purpose of this document is explain to you what the Herts Bowls Coaching Society (HBCS) will do with the personal data you have supplied due to your membership with the Society. This document has been written to comply with the General Data Protection Regulation (“GDPR”). HBCS has chosen to use “Legitimate Interest” as the basis for holding your personal Data, and has completed (as required by the GDPR) a Legitimate Interest Assessment Form, available on request.
Personal Data you have supplied
You have supplied HBCS with personal data on your original membership form and may have subsequently provided updates to the Secretary as the data has changed – for example, a change of address or telephone number. The personal data held by the Secretary includes your name, address, email address, telephone number(s); your Coach qualification level and certifying organisation; and the bowls club(s) you belong to.
What does HBCS do with the data you have supplied?
HBCS is a Society of Coaches and will only use the data in a way that would be expected of an organisation like HBCS. HBCS will use the data for the following tasks:
Communications from the HBCS Executive Committee containing information about activities HBCS is conducting or aware of including: -
Calling notices for the AGM and provision of minutes
Details of Skills Days
Details of training sessions/ courses being provided by the Senior Coaches
Details of relevant courses from other organisations related to bowls including First Aid courses and Safeguarding courses
Communications from the HBCS Executive Committee regarding new or renewed membership of the Society
Communications with an individual member requiring information relating to an HBCS activity e.g. a Club Coach about an activity at his/her club
In addition, your name may appear in the minutes of the HBCS Executive Committee meetings or the minutes of the HBCS AGM.
The Names, addresses, telephone numbers and email addresses of members of the HBCS Executive Committee may be placed on the HBCS Web Page.
All communications with you will use your telephone number, email address or postal address as applicable.
Who will the data that you have supplied be shared with?
HBCS will not use the data for marketing, or share your personal data with any organisation that may use it for marketing.
HBCS will not share your data with any other organisation or individual that requests it without your permission.
HBCS sends a copy of the minutes of its meetings (HBCS Executive Committee and AGM) to relevant representatives of Hertfordshire Bowls. As stated above, your name may have appeared in these minutes.
